1. Governance of all external marketing expenditures
The affiliated sales centers maintain all company-related campaigns and measures with the associated costs in the system. Once approved by headquarters, the campaigns can be implemented and carried out. At the end, the sales centers also record the cost statements centrally in the system and evaluate all campaigns based on defined criteria. A simple workflow controls the recording of the required information across all phases.

2. Centralized management of measures and budgets
The company headquarters approves the campaigns submitted by the sales centers and uses the tool to monitor the utilization of the contractually agreed marketing budgets. A range of informative reports and diagrams are available for this purpose, for example based on products, channels, or individual measures. The company also gives the sales centers access to global marketing campaigns in the tool so that they can optimize their planning accordingly.

3. Evaluation, feedback, and optimization
The head office and sales centers evaluate each campaign during the closing phase. The company regularly compiles summaries based on these evaluations, gaining valuable insights into which campaigns and promotions work globally and which do not. Simplicity, flexibility, and process optimization
The company sells its products worldwide in cooperation with local sales centers. Marketing expenses have been contractually agreed with these centers, which must be managed and controlled by headquarters. To this end, a system-supported process was sought that would be both simple and cost-effective, while also ensuring full transparency and ease of use.
After evaluating various systems, the company opted for toolpilots MATE, which is easy to implement, offers many customization options, and can be used to precisely control who can view which measures and costs in the system with granular roles and permissions. aclevion implemented the project in close cooperation with Pilatus, impressing with its excellent support, reliability, fast project implementation, and local proximity. Thanks to the flexibility of the system, topics and functions that were not part of the original plan but provide additional value could also be implemented during the implementation process: The company headquarters allows the sales centers to view their own global planning (without costs, of course) so that they can optimize their planning accordingly. And based on the final evaluations of all actions, the company has established a feedback loop that improves further planning.
Both headquarters and the sales centers are enthusiastic about the new transparency and overview and surprised by the insights the tool gives them into their spending. This is a valuable bonus that is already being incorporated into plans for next year. There are also plans to extend budget planning to internal budgets next year.

Requirements
Pilatus sells its aircraft worldwide and works with over 20 international sales centers. A new system was needed to control the contractually regulated marketing expenses of these sales centers for Pilatus-related campaigns.
